Privacy notice

The short version. The Signature Studio is a free tool that runs mostly in your own browser. It works without an account and without asking you to log in. Whatever you type or paste, including any image URL you add, is processed on your device and is never sent to us or stored anywhere. We use privacy-friendly, cookie-free analytics to count how the tool is used, but this does not identify you or build a profile of you. We do not sell your data, and we never will. The full notice below just spells this out.

Who is responsible for your data

The data controller for the Signature Studio is Proxem (enterprise and VAT number BE 0834.415.675), established in Belgium (EU). If you have any question about privacy or want to exercise your rights, contact us at GDPR@proxem.be.

What the app does with your data

The Signature Studio lets you build an email signature you can copy into your mail client. The information you enter (for example your name, job title, email address, phone number and links) is processed entirely inside your browser to produce the result on screen. This information stays on your device: it is not transmitted to Proxem and it is not saved on any server.

Because there are no accounts, we do not ask you to register, we do not set a password, and we hold no user profile for you.

What we do not collect

  • We do not require or create an account.
  • We do not use advertising cookies or tracking cookies.
  • We do not sell, rent or share your personal data with third parties for their own marketing.
  • We do not build behavioural profiles of individual users.

Images you add by URL

You can add a profile photo and a logo to your signature by pasting a link (URL) to an image you already host somewhere else, for example on your own website or an image host. The signature simply embeds that link. There is no upload feature.

  • No upload: the image itself is never uploaded to us. We do not receive or handle a copy of the image file.
  • No storage: we do not store your images or the links you paste. A link exists only inside the signature you build and copy, on your own device.
  • Where the image lives: wherever you already host it. Its availability, hosting and privacy are governed by that host, not by Proxem.

Usage analytics

We use Vercel Analytics to understand how the Signature Studio is used, for example how many people visit and which features are popular. It is privacy-friendly by design: it does not use cookies, it does not track you across other websites, and it does not build a profile of you. The measurements are aggregate and are used only to keep the tool useful and reliable.

The donation link

If you choose to support the project, we link out to Ko-fi. When you follow that link you leave the Signature Studio and any information you provide (such as payment details) is handled by Ko-fi under Ko-fi's own privacy policy, not by Proxem. We never see your card or payment details.

Lawful basis for processing

Where the app processes your input in your browser to give you the result you asked for, our lawful basis is that the processing is necessary to provide the service you requested. For privacy-friendly usage analytics, our basis is our legitimate interest in maintaining and improving a free tool, balanced against the very limited, non-identifying nature of the data.

Your rights

Under the GDPR you have the right to access, correct, erase, restrict or object to the processing of your personal data, and the right to data portability. Because Signature Studio holds little or no personal data about you, in most cases there is simply nothing on our side to retrieve or delete. If you have any concern, email GDPR@proxem.be and we will help. You also have the right to lodge a complaint with your supervisory authority; in Belgium this is the Data Protection Authority (Gegevensbeschermingsautoriteit / Autorite de protection des donnees).

Where your data is processed

Proxem is based in the EU. Our hosting and analytics providers are chosen with EU data protection in mind, and where a provider processes data on our behalf they do so under an appropriate data processing agreement.

Changes to this notice

If we change how the app handles data, we will update this notice and the "last updated" date above.
